About the Role

1. Payment Forecasting & Budgeting:
○ Prepare monthly payment forecasts for company operations
client/supplier-related payments.
○ Track expenses and ensure budgetary allocations are followed.

2. Day-to-Day Office Management:
○ Ensure smooth day-to-day office operations, including managing supplies, arranging meetings, and coordinating office activities.
○ Maintain office cleanliness and organization.

3. Employee Welfare:
○ Oversee the well-being of employees by managing benefits, office environment, and employee engagement activities.
○ Coordinate office events and employee gatherings.

4. Scheduling & Coordination:
○ Schedule appointments, meetings, and interviews.
○ Handle logistics for any business-related travel or events.

5. Reporting & Documentation:
○ Assist in preparing internal and external reports related to operations.
○ Maintain up-to-date and organised records, files, and company documents.
○ Supporting any required documents submission for award or grant.

6. Supplier & Vendor Management:
○ Manage relationships with suppliers and vendors for office needs, ensuring timely deliveries and resolving any issues with services or products.
○ Oversee vendor contracts and negotiations.

7. Support to CEO & HOD:
○ Provide ad-hoc administrative support to the CEO and Head of Departments (HOD).
○ Coordinate any special projects or tasks as requested by the leadership team.

8. Customer Service Management:
○ Ensure a high standard of customer service is maintained.
○ Handle general inquiries and direct them to the appropriate departments or team members.

Requirements

Experience: Minimum 2-3 years in a similar administrative or operational role. 

Skills: Strong organizational skills, attention to detail, and ability to manage multiple tasks simultaneously. 

Communication: Excellent written and verbal communication skills in English ,Malay and Chinese 

Tech Skills: Proficient in Microsoft Office Suite, Google Workspace, and other office tools XERO and BrioHR 

Personal Attributes: Proactive, solution-oriented, able to work independently as well as in a team and very organised person.

Preferred: 

● Experience in the business admin, marketing or media industry. 

● Familiarity with basic financial and accounting tasks (e.g., invoice processing, expense tracking).

● MUST be able to read and write Mandarin
