About the Role
1. Day-to-Day Offi ce Management:
● Oversee daily offi ce operations, including the management of offi ce supplies, meeting arrangements, and coordination of offi ce activities.
● Ensure the offi ce remains clean, organized, and conducive to a productive work environment.
● Support vendor registration processes and facilitate necessary submissions for departmental needs.
● Manage general inquiries and direct them to the appropriate team members.
● Assist with document preparation for compliance,social media platform and internal reporting requirements.
● Maintain up-to-date, accurate company records and documentation.
2. Employee Welfare & Human Resources:
● Assist with HR functions, including recruitment, off er letter preparation, and the onboarding process (including system activation for training).
● Help prepare internal and external reports related to operations and HR functions.
● Implement HR policies and initiatives that foster a positive work culture and enhance employee engagement.
3. Support to CEO & Head of Departments (HOD):
● Provide administrative support to the CEO and HODs for special projects, research, and ad-hoc tasks.
● Facilitate seamless communication and follow up on action items to ensure smooth internal operations.
Requirements
● Experience: Minimum of 2-3 years in administrative, HR, or operational roles, preferably within the business, marketing, or media industries.
● Human Resource Experience: Proven experience in recruitment, onboarding, employee engagement, and managing HR policies.
● Skills: Strong organizational skills with the ability to multitask effectively and exceptional attention to detail.
● Communication: Excellent written and verbal communication skills in English and Mandarin (must be proficient in reading and writing Mandarin).
● Tech Skills: Proficiency in Microsoft Office, Google Workspace, XERO, and BrioHR.
● Personal Attributes: Proactive, solution-oriented, highly organized, and able to work independently as well as within a team.
● Additional: Must be willing to work 5.5 days a week.
