About the Role
We are looking for a detail-oriented and proactive Admin and Operations Executive to manage day-to-day operations and ensure the smooth functioning of CareMeals. You will play a key role in streamlining administrative processes, coordinating logistics, and supporting our mission to provide quality, health-focused meals to our customers.
Requirements:
Administrative Duties
* Manage and maintain accurate records of customer orders, vendor contracts, and inventory (physical and digital filing systems)
* Organize and update databases, including client dietary preferences and delivery schedules.
* Prepare and distribute reports related to operations, customer satisfaction, sales performance and expense tracking..
* Handle customer inquiries, feedback, and complaints professionally, ensuring timely resolution.
* Perform basic data entry and assist in preparing invoices and receipts.
* Maintain confidentiality and ensure compliance with relevant regulations
Operational Coordination
* Oversee daily food preparation schedules to ensure timely delivery and adherence to quality standards.
* Arrange and book delivery services with delivery partners.
* Coordinate with kitchen staff and delivery partners to optimize logistics and reduce delays.
* Monitor inventory levels and liaise with suppliers to maintain a steady supply of ingredients and packaging.
* Ensure compliance with health and safety regulations, including hygiene standards in food preparation.
Team Support
* Collaborate with the CEO to support on all management task
* Assist in training and onboarding new team members for operational roles.
* Develop and implement standard operating procedures (SOPs) to enhance efficiency and consistency.

Requirements
Experience: Minimum 2 years in administrative or operations roles, preferably in the food or service industry.
Education: Diploma or Bachelor’s degree in Business Administration, Operations Management, or a related field.
Skills:
Excellent organizational and multitasking abilities.
Strong communication skills, both written and verbal in Bahasa Melayu and English. Mandarin is an added advantage.
Proficiency in Microsoft Office Suite and familiarity with operations management tools.
Problem-solving mindset with a focus on process improvement.
